Every app worked. For about two weeks.
You are not bad at this. You have proved you can run a productivity system beautifully. You have just never found one that survives the first day you ignore it.
I have done this more times than I want to write down, and it went the same way every time. For years I thought it meant I never finished anything I started. What actually happened was that the system stopped being usable, and I kept blaming myself for the wrong thing.
- You find something new, on a good day, when you have energy to spare.
- You set it up properly. Categories, colors, a view for each part of your life.
- It works. For a week or so it genuinely works, and you feel like a different person.
- Then a bad day happens, and you do not open it.
- The next day the app is a list of things you did not do, so you do not open it then either.
- Three weeks later you delete it, and you look for a better one.
The line that mattered was the fourth one. Nothing had gone wrong with the app. One ordinary bad day had happened, and then the app made that day permanent by still being there in the morning with everything I had missed sitting on it.
The app did not fail on the day you stopped using it. It failed on the day after.
Setting it up is the easy part, and that is the trap
Building the system was the part I enjoyed. It was new, it had a clear finish, and it felt exactly like being productive while none of the actual work got done. I spent a lot of afternoons on beautiful setups I abandoned a fortnight later, and it took me an embarrassingly long time to notice that the fun part and the useful part were two different activities.
My own list is on the story page: another to-do app, a habit tracker, a bullet journal, a second brain, and finally two years of a Notion build I maintained by hand. Each one set up on a good day. Each one abandoned inside two weeks. The Notion one lasted longest and still went the same way in the end.
What the apps assume
Every planner I tried was built on one quiet assumption: that I would show up tomorrow in roughly the state I was in when I set it up. Same energy, same attention, same willingness to maintain it. So they gave me unlimited lists, unlimited tags, and nothing at all that protected me from the day I had less than I started with.
That is fine if your days are all much the same. Mine are not, and on the weeks they were not, the system quietly became one more thing to keep up with. The first week I could not keep up with it was the week I lost it.
What to look for instead
What I eventually decided was that I did not need a better setup. I needed something still usable on the worst day of the month, because that is the day that decides whether you keep it. These are the four questions I ask now, and I would ask them of anything, including ours.
- Can you use it badly? If it only works when maintained perfectly, it will not last.
- What does it do the morning after you skip a day? If the answer is show you everything you missed, that is the failure mode above.
- Can you start with almost nothing set up? Anything that needs an afternoon of configuration is asking for the fun part first.
- Does it ever say no to you? An app that lets you plan an impossible day will let you do it every day.
I built Actto around the last two, which is why it starts almost empty and will not let a day hold more than three priorities. But the questions matter more than the answer you land on, because the app was never really the variable. The day after is.
